Our scale offers all our people great opportunities to develop their knowledge and skills and to progress their careers.Job DescriptionThe post holder will be expected to use their expertise in order to meet our client's expectations and maintain client relationships. They will help ensure all the administration tasks for the designated clients are undertaken accurately and efficiently. They will help run the team on a day to day basis, reporting into the Fund Administration Manager.Main Responsibilities
  • Maintaining excellent client relationships and to ensure that the service is delivered in accordance with exacting service level agreements.
  • Monitoring workflows on an ongoing basis to ensure work is completed in a timely manner.
  • Liaising with client representatives, intermediaries, lawyers and other professionals.
  • Maintaining client procedures in line with requirements and changes to relevant regulation.
  • Co-ordinating investments and divestments through efficient document management and utilisation of client/intermediary relationships.
  • Liasing with the Investor Services team to ensure drawdowns and distributions are performed in accordance with Ocorian's processes and procedures.
  • Liasing with the Investor Services team to ensure regular and ad-hoc communications with investors are undertaken in accordance with Ocorian's processes and procedures.
  • Leading junior members of the team, which includes training, development and encouragement of an environment of participation, motivation, teamwork and open communication.
  • Assisting the Manager with fund launches, essential project work and internal administration when required and where appropriate.
  • Preparing and reviewing regulatory and statutory reporting to a number of global regulators.
  • Preparing and reviewing Client File reviews.
  • Maintaining statutory records for each entity within the client group.
  • Ensuring that all processes are carried out in line with Ocorian's documented procedures, with reference to the relevant regulation and to advise the Directors and Compliance Officer of any potential issues.
  • Oversight and detailed review of quarterly Board Packs.
  • Oversight of production of board meeting minutes and review of content.
  • Attending client meetings and advising the client on administrative matters and to ensure that any requests from the board are adequately adhered to.
  • Assume authorised signatory responsibility for Ocorian and as such assist with authorisation of payments, transfers, deposits and foreign currency trades as well as execution of documentation on behalf of the client, wherever necessary.
  • Providing cover for other staff and client groups during periods of illness and holiday.
  • Any other such duties that might be reasonably required for your role.
