Oak is committed to this exciting journey. JOB SUMMARY The role sits within the Trust & Corporate Department and is a diverse role which is pivotal to business success. A large part of the role is to establish and develop relationships with their team, clients and intermediaries and build the reputation of Oak as a client focused business who meet and exceed client expectations. The Manager has oversight of their team and has responsibility for ensuring that all duties to be carried out by the team can be done effectively and that all policies and guidance notes implemented by the Board are adhered to and that high service levels are maintained. KEY RESPONSIBILITES Client Service & RelationshipsEnsuring that client service levels are maintained to a high level all times and that proper oversight is in place within the team to ensure clients receive responses to communications (where required) within 2 business days and that any requests for action are accepted in to a properly monitored workflow process which ensures the necessary action is takenMaintaining and building good relationships with clients and intermediaries through quality service and promoting this ethos within the wider teamProviding Client Manager responsibility for all client relationships and entities within the team and managing any client related issuesJOB DESCRIPTIONProviding higher level technical support to the team, other business functions of OTGL and toClients and Intermediaries Attending client meetings as required Acting as a “A” signatory and ensuring all transactional work within the team is being actioned andmonitored effectively Taking responsibility for UK meetings with the relevant director, relating to the team's portfoliounder management and where possible meeting with these clients on an annual basis. Team members should be included on these trips, where appropriate, to continue their personal development and the on-going development of the client relationshipWorking closely with the Board of Directors on the strategic direction of the administration function of the businessRegulatory & Risk Interacting with the Risk Team to ensure all the compliance requirements of the team's portfolio ofclients are being met and appropriate action is taken to address any deficiencies Ensuring client profiles and risk assessments are completed and up to date.Client Reviews and Tasks Ensuring completion of Tasks by the team as they become due by actively managing and monitoringall team members tasks on a regular (at least monthly) basis.Financial Reporting Ensuring all financial reporting requests to the team are dealt with as quickly as possible. This willinclude the signing of financial statements, dealing with accounting team queries and clearing unclarified entries and incoming funds queriesLine Management Responsibilities Guide, support, encourage and develop the team in line with Oak's People Management FrameworkGeneral Responsibilities Detailed and full recording of time billing, aiming to reach a pre-determined billing target eachmonth both personally and for the team. Attendance and contribution at Management and Risk and Compliance Committee meetings Preparation by the team of information for consideration by the Client Committee. Providing support to the Board as required Attending to any project requirements as directed by the Board within the timescales issued. Ensuring compliance with FATCA/CRS obligations are complied with including collection of TSCF's. Ensuring invoices are sent out by the team on a timely basis and ensuring collection of outstandingamounts. Completing any other duties as may be required from time to time in accordance with therequirements of the role, team, and evolving nature of the function In all aspects of your role, display and adhere to Oak's vision and valuesKEY COMPETENCIES & SKILLSHolds, or is working towards a relevant professional qualification e.g. ACCA, STEP, ICSA Minimum 5 years post qualifying experience in the fiduciary sector and/or at least 10 yearsindustry experience. Detailed understanding of fiduciary services business including detailed knowledge of theregulatory framework. Strong IT skills, including practical experience of Microsoft Outlook, Word and Excel Ability to work under pressure & meet deadlines Excellent written and verbal communication skills Positive attitude with problem solving ability - we don't have problems, only solutions!
